City Chapters - Partnership Coordinators

1. Purpose

Partnership Coordinators support RISE City Chapters by building and maintaining local partnerships and vendor relationships that strengthen events, recruitment, and community presence.

2. Scope

This applies to all Partnership Coordinators supporting RISE City Chapters across the country.

3. Reporting Structure (Required)

  • Partnership Coordinators report directly to their Regional Leader (Regionals).

  • Coordinators may coordinate with national partnerships leadership as needed, but the Regional is the direct manager for direction, priorities, and accountability.

4. Roster & Access

  • Partnership Coordinators must be listed on the official roster for their assigned area.

  • Partnership Coordinators should be added to the appropriate Telegram communication channels as determined by the Regional Leader.

  • Partnership Coordinators must use the official tracking system (AT/Airtable)

5. Core Monthly Requirement (Non-Negotiable)

    5.1 Monthly Partnerships Import Requirement

Goal: Partnership Coordinators must import five partnerships every month (minimum expectation).

Definition (“Import Partnerships”):

  1. Identify partner opportunities

  2. Outreach (email/call/message)

  3. Confirm interest + next steps

  4. Log complete partner details and status in AT

  5. Maintain follow-ups and record outcomes

Minimum Standard: Every month, AT reflects active outreach and new/updated partnerships.

6. Primary Responsibilities

   6.1 Partnership & Vendor Outreach (Primary)

Objective: Build relationships with community partners/vendors that support chapter activity.  

Examples: venues, churches, nonprofits, campus orgs, small businesses, speakers, sponsors, tabling opportunities, printing, food/beverage, event vendors.

Coordinator Responsibilities:

  • Use approved outreach scripts/templates

  • Send emails, make calls, and track responses

  • Attending tabling and Activism Day events to reach new partners

  • Confirm deliverables when applicable (date, location, sponsorship, discount, table space, etc.)

7. Supporting Responsibilities (As Assigned by Regional Leader)

Coordinators will also support events and operations based on skills and event needs:

    7.1 Attendee Recruitment (Event Recruiter)

  • Refer friends, invite local networks, share in local groups (as approved)

  • Secure partner organizations to help sponsor and turnout for events

  • Assist City Chairs/Regionals with recruitment pushes

  • Provides guidance on building long-term, sustainable event support.

    7.2 Documentation / Paperwork Support (Administrative)

  • Share required paperwork provided by your direct report (Regional) with assigned groups

  • Help ensure forms/docs are distributed, completed, and tracked

    7.3 Travel Support (RISE Events)

  • Leaders may be requested to travel for events

  • Travelers generally cover costs upfront and follow the KB reimbursement process

  • Submit required documentation on time (per KB standards)

    7.5 VIP / Speaker Hospitality Support (VIP Liaison)

  • Prepare welcome kits (if applicable)

  • Write thank-you notes

  • Handle small tasks supporting guest preparation and event-day readiness

8. Monthly Operating Rhythm (Required)

Every month:

  1. Check in with City Chairs as needed and with Regionals at monthly regional meetings (or on as needed basis)

  2. Update AT with:

  • New partnerships

  • Responses and partner status changes

  • Confirm priority chapters/events for the week with City Chairs

9. Standard Workflow: Partnership Pipeline (Step-by-Step)

  Step 1 — Identify Prospects

  • Use local knowledge, community directories, campus/community contacts, prior partners, and referrals

  • Prioritize partners aligned with RISE values and event goals

  Step 2 — Outreach (Email/Call)

  • Use approved templates and keep outreach professional and concise

  • Clearly state: who you are, what RISE is, what you’re requesting, and the timeline

  Step 3 — Log in AT (Same Day)

Each entry should include:

  • Organization name + contact person

  • Phone/email + preferred contact method

  • Partnership type (venue/vendor/sponsor/community partner)

  • Status (New / Contacted / In Conversation / Confirmed / Declined / On Hold)

  • Notes + next step + follow-up date

  • Any deliverables promised (discount, donation, venue, speaker, etc.)

  Step 4 — Confirmation + Next Steps

When interest is confirmed:

  • Confirm details in writing (email/text)

  • Notify Regional Leader (and City Chair if directed by Regional)

  • Distribute required paperwork and track completion (if applicable)

  Step 5 — Maintain Relationship

  • Thank partners after events

  • Track outcomes (impact, contributions, future opportunities)

  • Keep warm leads active for future months

10. Quality Standards (Do’s / Don’ts)

DO:

  • Follow the chain of command (Regional is your direct report)

  • Keep AT accurate, current, and specific

  • Set follow-up dates and follow through

  • Represent RISE professionally in all communication

DON’T:

  • Promise funding, reimbursement, or approvals without Regional authorization

  • Use unofficial graphics, messaging, or documents

  • Leave outreach untracked (if it isn’t in AT, it didn’t happen)

11. Performance Benchmarks (KPIs)

Baseline expectations (Regionals may set higher targets):

  • Monthly: Partnerships imported/updated in AT (required)

  • Monthly: Number of events attended/supported

  • Quality: Complete records (contact info, notes, follow-up dates, outcomes)

12. Escalation + Support

Escalate to your Regional Leader when:

  • A partner requests contracts, funding, or formal sponsorship terms

  • A partner asks for approvals beyond your scope

  • You’re unsure how to classify or log a partnership in AT

  • Any reputational risk arises (conflict, controversy, unclear alignment)
